Postbox Migration

I’m migrating from Postbox. Email account with outlook (office365).
I can send emails but I cannot receive them. I get an error message “[AirSync] Creating or updating folder ‘/Inbox’ failed due to the following error: AlreadyExists”

There are two inboxes shown in eMClient with one being empty. Tried to delete the empty one but couldn’t.

eM Client is listed in my outlook account as an app. No firewall blocking.

POP setup with outlook.office365.com as server. Port 995. Use SSL/TLS on special port (legacy).

If you are still using a POP incoming mail setup with Microsoft that will be a problem.

Microsoft started disabling basic authentication for Outlook accounts back in Oct 2022 as of the following eM Client blog.

Since September 16 2024 , Microsoft no longer support the use of basic authentication used in legacy POP accounts.

So you now need to use the modern authentication via the “automatic account wizard” in eM Client which sets up IMAP with a secure OAuth 2 token.

Go to “Menu / Accounts” and click “Add account” at the top and enter your Microsoft email address and follow the wizard as per the end of the post below which sets up as an IMAP or Exchange depending if you are a personal or business user.

If you then have existing Microsoft POP account messages and custom POP message folders, once you have setup your IMAP or Exchange Microsoft account, then drag / move them to your new account. Once you then are certain they are all there, then remove your POP account.

If you don’t have a POP incoming mail setup, then I’d probably suggest to “try removing and readding your account again via the automatic account wizard” in “Menu / Accounts” & see if that fixes the problem.

Note: If you do try removing and readding your account, “make a manual backup first” via "Menu / Backup incase you need to restore if you have any issues.

If you still get two Inboxes in eM Client even after removing and readding your account, then I would close eM Client and go online to your webmail and “see if it’s also showing there”. If it is, then delete it online and reopen eM Client.

I had to uninstall and start over. I can now send and receive messages.

However, when I imported from Postbox less than half of my folders imported. How to fix that?

Also I don’t want to receive junk messages, sent messages etc from outlook account. Only want to download messages from the inbox. How to do that?

If your mail server doesn’t have good spam filtering and spam is staying in your Inbox, you can go in eM Client to “Menu / Rules” (Pc) or “Menu / Tools / Rules” (Mac) where you can then setup a “custom rule” to eg: automatically delete messages when received from specific senders by email address, subject, body contents, header or domain address,

Or you can setup a “custom rule” to eg: automatically move senders to the junkmail folder by email address, subject, body contents, header or domain address which then can auto delete in 30days.

Set eM Client V10 to auto delete spam from Junkmail folder on exit older than 30days.

You can also manually move a received Inbox email to the Junkmail folder. Or you can manually move a received email to the junkmail folder and blacklist the senders email address, Or you can manually move a received email to junkmail folder and blacklist the domain, by “right clicking on the toolbar” and click “customise” and then adding those toolbar options as per below example.

Note:- Up to V9 the Blacklist is in Rules. In V10 the Blacklist is in “Menu / Settings (Preferences) / Mail / Blacklist and Whitelist”.

Only want to download messages from the inbox.

If you only want to download specific IMAP folders, then go to “Menu / Accounts” and click on your account on the left. Then click the “IMAP Tab” along the top and at the very bottom you will see “Ignored Paths” where you can exclude mail folders.
