Exchange - retention strategy

Hello

I am contacting you because I believe I will certainly find the answer and guidance from you.

I am about to implement an email retention strategy via an Exchange retention policy in the M365 portal (specifically: Lifecycle => Compliance => Exchange (legacy)).

In this retention strategy, I have added a tag (“entire mailbox - default policy”) to archive emails older than two years, as well as a deletion tag for emails older than 5 years. I have also configured several other tags in personal mode.

My question is: since the online archive mailbox is activated and I can see that emails older than two years are already being moved to this mailbox by the previous policy, will the deletion tag remove emails older than 5 years from the online archive mailbox, or does this policy not apply to this type of mailbox (online archives)?

I have forced the execution of the new policy on the mailboxes of two voluntary users and moved old emails from the online archive to the inbox. I noticed that they returned to the online archive mailbox. Therefore, I understand that the deletion policy applies to regular mailboxes but not to the online archive mailbox.

Have you ever encountered this kind of situation? Do you have an answer to my question, please?

I hope I was clear. If not, please feel free to ask for clarification and more information.

Thank you very much.

Best regards,

Probably you will get more informed responses on an Exchange server forum as this is a server question, and nothing to do with the email application in any way.

But yes, the delete tag will also apply to the archive mailbox. Microsoft describes it here under the Retention Policy section:

“For example, you can use a DPT with the Move to Archive action to move items to the archive mailbox in two years, and a DPT with a deletion action to remove items from the mailbox in seven years. Items in both primary and archive mailboxes will be deleted after seven years.”
