More than one Category for one contact

If a contact is in more than one category, they should be included in each category when used for addressing an email. This does not happen.

Say I have a category Travel and a category Family.  John is in both categories - a family person who travels with us.  I use the categories to send a group email - an email to the Travel group does not go to John and an email to the Family group does not got to John.  I have to email him using the category Travel/Family.
Can this be changed so that John would have an email from either categogories?

Douglas, are you talking about three different categories here? Travel, Family, and Travel/Family?

Could you maybe post a screenshot of the contact like this:

I don’t want three, only two with john belonging to both, like having two Gmail labels.  He will be included in emails to both categories.

I tried to reproduce your error, but it always includes all the contacts in a category, without exception.

I asked if you are using three categories because you said “I have to email him using the category Travel/Family.” Is this a third category?

That is the difference, I wonder why.  I can only email john using this third category.I want to be able to email him using just travel, and I can’t.

This question has to do with the current view of your contacts. You have chosen a Phone List or Custom view, and sorted by category. As in this example:

What this does is group contacts by category, or when contacts are in more than one category, it creates a group for the combination. You will notice that the contacts for the combined Family,Travel group no longer appear in either of the separate Travel or Family groups.

So when you right-click on the Family group header, and choose Send Message, it will only send to those contacts in that group as seen on the screen. That is not a category, but a filtered group of Family only contacts.

From this view, if you want to send a message to all members of the Family category (to include those who are also in the Travel category) you need to select both the Family and Family,Travel groups. You can do this by clicking on the Family header, then Ctrl+click on the Family,Travel header, and right-click Send Message.

Another way is to select only the Family category on the left (see below), select all the names and right-click Send Message.

Of course the proper way to do this is not by Category or Group, but by use of Distribution Lists which are lists that can contain any number of contacts. Once you have created the distribution list, you can use it by filling in its name in to the recipient field, while you are writing a new message, and the message will then be simply sent to all contacts that are contained in the particular distribution list. Saves a lot of time.

Hi, another message. I have tried this, and now I have read the instructions in the KB but when I clicked Add member it does not show the Contacts list.  I don’t know where the “address list” comes from.

The Help File (F1) is probably better than the Knowledge Base.

Once you have clicked on Add Member , you then need to select from which Contact Folder to select the contacts.

When you have the list up, choose each contact by selecting the check box next to each one you want to add.

Hey Gary, your screenshot shows a folder Family. But it’s a FOLDER, not a CATEGORY. So if someone is in Family and in Business, you’ve got duplicate contacts.
Why is there no option to show Distribution lists or Categories, where currently only folders are listed?

That depends on your provider. With Google Contacts, the category is a folder. The same with my provider, each category from the server is shown as a separate virtual folder. There are not duplicate contacts. It is just one contact that is displayed in more than one virtual folder. If you edit the contact in Family, you will see that the contact in Business is also changed. If you search for a contact that is in both categories, you will get only one result.

With local folder contacts it is different. If you create a new folder, it is an actual folder. Local contacts do not show a separate folder for each category.

Distribution lists are classified as a contact. You will find the distribution list listed alphabetically among your contacts.

You can display your contacts grouped by category. Just click on the category column header.

For online contacts, just click on the folder/category.

But then, why doesn’t eM Client show local contact categories as folders? Why would you selectively have this function?
Ordering / grouping by category won’t do, since this groups contacts in multiple categories in separate groups. It’s still a search then.

It is not a selective function. The CardDAV or Google server presents the categories as folders. Local contacts are just that - local. There is no server to offer that function.

Your best option is to store your contacts online, then if you want a particular category, just click on that folder.
